As SIT’s lifelong learning champion, SITLEARN offers stackable and standalone Continuing Education and Training (CET) courses to working adults who are looking to upskill, reskill, and stay relevant in a changing economy. Our Training Management System (TMS) supports the end-to-end CET learner journey, from course setup and registration to enrolment, attendance, funding administration, certification, and reporting. As we continue to grow our CET offerings, we are looking for a motivated individual to support system improvements, process digitalisation, data quality, and operational efficiency across SITLEARN.

In this role, you will work closely with internal teams, system vendors, and stakeholders to support data governance, support audit & compliance, support system operations, improve service delivery, and explore practical digital solutions that support lifelong learning.

 

Key Responsibilities:

Data Governance, Audit, and Compliance

 

  • Support data access governance by maintaining role-based access control matrices across MS Dynamics, SharePoint, and other systems.
  • Collaborate with various SITLEARN teams to ensure compliance with the Personal Data Protection Act (PDPA) and data classification standards.
  • Support all audits activities such as the consolidation of system logs, SOPs, and access rights documentation and user access reviews.
  • Support and maintain audit readiness by driving updates to Standard Operating Procedures (SOPs), system training materials, and exception handling policies.

 

Ensure Good Governance, Documentation, and Operational Support

 

  • Prepare and maintain project documentation, system guides, process maps, training materials, meeting notes, issue logs, and implementation trackers.
  • Support good data governance, access control, records management, data protection, and privacy practices in accordance with PDPA and institutional guidelines.
  • Assist in consolidating user feedback, operational issues, reporting needs, and improvement suggestions to support future system enhancements.

 

Support SITLEARN’s Training Management System

 

  • Support system-related changes, ensuring all change requests are justified for implementation, UAT (User Acceptance Testing) and documentation of test plan and test results.
  • Provide support for SITLEARN’s Training Management System, including basic administration, user support, issue tracking, testing, and coordination with internal users, CIT, and vendors.
  • Coordinate with CIT and vendor to resolve TMS performance issues and recommending improvements or enhancements as needed.
  • Support any other administrative duties or projects as required (e.g. data-entry, collate and analyse data for management reports and/or presentations etc).

 

Requirements:

 

  • Diploma or Degree in Computer Science, Information Technology, Computer or Electronics Engineering, Information Systems, or a related discipline.
  • Preferably 5 to 7 years of relevant experience in data governance, exposure to PDPA & audit activities, system support, digital operations and process improvement.
  • Able to understand user needs, identify practical improvement opportunities, and support simple digital or process solutions.
  • Experience in issues and requests tracking, and vendor coordination, is required.
  • Good analytical and problem-solving skills, with the ability to understand operational needs, system issues, and user considerations.
  • Good understanding of enterprise systems, workflow tools, data management, reporting dashboards, or low-code platforms will be advantageous.
  • Good written and verbal communication, as well as interpersonal skills, with the ability to prepare concise documentation, guides, and training materials.
  • A driven, curious, and motivated team player who is comfortable experimenting with new technologies, learning independently, and translating ideas into workable solutions.
  • Comfortable working in a dynamic environment and managing assigned tasks within agreed timelines.
  • A passion for improving user experience, service delivery, and productivity through AI, automation, data, and digital solutions.
  • Experience with AI tools such as MS Co-Pilot, Claude and Gemini will be advantageous.
  • Experience with tools such as UiPath, Microsoft Power Automate, Power Apps, Power BI, SharePoint, Microsoft Dynamics 365, OpenCerts, digital forms, reporting tools, or workflow platforms will be advantageous.
