Reporting to the Team Lead of Resource Planning and Management (RPM), the incumbent will:

  1. ensure day-to-day asset and procurement processes are executed accurately, efficiently and in compliance with policies and operational requirements.
  2. drive transformation by reviewing workflows, identifying improvement opportunities, and supporting the use of automation, Artificial Intelligence, RFID and digital solutions to strengthen visibility, productivity, compliance and service delivery across the Division.

 

Key Responsibilities

 

  1. Asset Management Operations
    • Manage day-to-day asset management activities by coordinating with LICs and asset custodians on RFID asset tagging, record updates, verification, transfer tracking, and disposal. Ensure accurate recording and compliance with policies and control requirements.
    • Administer the Integrated Management System (IMS), Asset Management System (AMS – for low value assets) and the RFID Asset Management System, ensuring proper system usage, data accuracy, and governance.

 

  1. Procurement Operations
    • Guide and support stakeholders on sourcing approaches, procurement procedures, documentation requirements, evaluation processes, system submission requirements and compliance matters to facilitate timely, complete and policy-compliant procurement records.
    • Coordinate procurement processing and follow-up activities, including quotation requests, submission checks, clarification with stakeholders or vendors, and tracking of procurement status, to ensure information and supporting documents are entered into the system accurately, completely and on time.

 

  1. Process Improvement, Automation, AI Enablement, RFID and Workflow Integration
    • Review existing procurement and asset workflows, identify operational pain points and implement practical process improvements to enhance efficiency, turnaround time and controls.
    • Support the use of automation and Artificial Intelligence, such as analytics, document processing and workflow automation, to help operationalise digital solutions, including dashboards, tracking systems and automated workflows.

 

  1. Provide secretariat support for division and committee/workgroup meetings.
  2. Undertake any other duties as assigned by the Director, POD and supervising officer for the effective support of division operations and activities.

 

 

Job Requirements

 

  • University degree with 8 years' experience, preferably in asset management, procurement, and project management.
  • Proficient in using AI and automation tools to drive process improvements and automate workflow, with strong knowledge in project management practices.
  • Adaptable, with the ability to work both independently and collaboratively as an effective team player to achieve objectives.
  • Strong communication and interpersonal skills, with excellent written and verbal abilities.
  • Highly organised and detail-oriented, with a strong focus on accuracy and completeness.
  • Positive attitude, with strong interpersonal and rapport-building skills.
