The Assistant Manager/Senior Assistant Manager is responsible for the operational management of the timetabling function of the university, including but not limited to coordinating with the relevant stakeholders, planning and publishing the student class timetable, and formulating policies and procedures for class timetabling.

 

Key Responsibilities:

1. Planning of timetable 

  • Coordinate with academic staff and programme admin staff and plan clash-free timetables.
  • Ensure all class timetables are available one Academic Year ahead.
  • Publish class timetables to staff and students in accordance with the University schedule.
  • Collaborate with relevant stakeholders to implement changes to the timetable preparation process.
  • Liaise with IT staff on all issue pertaining to the system synchronisation of class timetables to ensure accuracy in the published timetables.

2. Policies and procedures

  • Review current processes and update the timetabling policies and procedures as required.
  • Prepare reports on teaching facilities utilisation rates.

3. Manage resources

  • Maintain and update the teaching facilities database to ensure correct information on room capacity and equipment.
  • Manage and approve the booking of teaching facilities in the Resource Booking System.
  • Participate in any development of the timetabling software.

 

Requirements:

  • A recognised degree, with at least 3 years of relevant work experience, preferably in the area of class timetabling.
  • IT savvy, preferably with good knowledge on automation tools.
  • Mature, meticulous and possess a high level of integrity.
  • Good written and verbal communication and interpersonal skills.
  • Problem-solving attitude.
  • Well-organised with multi-tasking skills.
  • Able to work in a fast-paced environment.
