As SITLEARN strengthens the administrative and coordination support for the Programme / Product function. We are looking for a Senior Assistant Manager who is meticulous, organised and comfortable supporting programme documentation, SSG-related submissions, workflow tracking and cross-functional follow-ups.
Role overview
This role provides administrative coordination, documentation and process support to the Programme / Product function. The role supports the development, approval, launch readiness and continuous improvement of Continuing Education and Training (CET) programmes by preparing and maintaining programme documentation, coordinating inputs from internal stakeholders, supporting SkillsFuture Singapore (SSG)-related course proposal submissions, and tracking follow-up actions across the programme development workflow.
Key responsibilities
• Prepare, compile and maintain programme development documentation, including course proposal forms, assessment plan inputs, supporting information, approval papers and other documents required for SSG-related submissions.
• Coordinate inputs from faculty, trainers, Grants, Marketing, Operations and other relevant stakeholders to support timely and complete course proposal preparation.
• Maintain programme development trackers, milestone plans, meeting notes, action logs, checklists and document repositories to support visibility of work progress.
• Follow up on pending inputs and administrative actions, and alert the Manager / Assistant Director where deadlines, dependencies or documentation gaps may affect progress.
• Coordinate routine communications with faculty, trainers, training partners and internal teams on documentation requirements, timelines, meeting arrangements and administrative follow-ups.
• Collate programme-related data such as enrolment, attendance, feedback, SSG submission status, approval status and other administrative indicators for review and reporting support.
• Support the refinement of templates, checklists, trackers and filing practices to improve consistency, reduce rework and strengthen audit-readiness.
Qualifications and skills
• Tertiary qualification in any discipline with at least 4–5 years of relevant experience in administrative coordination, programme administration, training administration, grants / funding administration, or continuing education and training support.
• Experience in adult learning, professional education, workforce development or a related environment will be advantageous.
• Meticulous with strong attention to detail and documentation discipline.
• Good written and verbal communication skills, with strong coordination, follow-up and organisational ability.
• Able to manage multiple administrative deadlines and stakeholders concurrently.
• Proficient in Microsoft Office applications including Word, Excel, PowerPoint, Outlook and SharePoint.
• Familiarity with SkillsFuture Singapore (SSG), Training Partners Gateway (TPG), CET course proposal documentation, grant administration or audit documentation would be advantageous.
• Comfortable with data collation, simple reporting and maintaining trackers / repositories.
