The Senior Executive of Office of SITizen Experience, Sports & Arts is responsible for supporting the coordination, management and execution of key student development initiatives in SIT. The role supports daily operations of the division, which includes project management, student relationship development and partnership management. The position contributes to the creation of a vibrant student life and university campus. The role will report directly to the Pillar Lead (Sports Development).
Key Responsibilities:
- Assist the staff advisors to support 8 to 12 student groups’ operations and administrative work; assist in guiding students to execute workplan and events.
- Assist in new Sports & Arts group set up request and identifying development opportunities.
- Assist in the organisation of Office of SITizen Experience (OSE) major events/projects, including the First Year Experience, Convocation Dinner, Inter-Cluster Games, SIT Anniversary concerts (student performances), SITizen Appreciation Night, SIT Arts Festival and other sports competitions and performance-related events, including coordinating requests and providing onsite support.
- Assist in facilities booking requests, executing periodic stock-take of sports and arts equipment and inventory management.
- Assist in engaging the Sports & Arts instructors/coaches, processing their payments, and getting instructors/coaches to sign Contract for Services (CFS).
- Support the procurement of goods and services for Sports & Arts.
- Facilitate student claims and key drawing, collate and manage data related to competitions, performances and student participation. Coordinate weekly meetings, including sending invites, setting agendas, and taking notes of meetings.
- Communicate closely with internal and external stakeholders to ensure all needs have been considered when developing student life facilities (e.g. gym, studios, club rooms, multi-purpose halls) and operational plans. Network with external partners to create enriching opportunities for student development.
- Support programme planning and coordination for student engagement initiatives (including outreach to less-engaged student segments), with a focus on implementation, tracking, and evaluation.
- Undertake ad-hoc projects assigned by the Team Lead and Deputy Director/Director of OSE
Job Requirement:
- Degree from a good University
- Prior experience in the sports/events industry, including event management, sports facility management and team coaching/management, is essential.
- Experience working within university sports, community engagement and event organisation a plus
- Strong planning, organisational and coordinating capabilities with excellent administrative skills
- Good communication (verbal and written) and interpersonal skills, to connect with students, and bridge students with staff
- Adaptable, able to multitask and work independently within tight timelines.
- Committed team player, responsible and reliable, who demonstrates maturity and professionalism; takes ownership, works collaboratively to achieve division mission, and adapts effectively to changing requirements and evolving operational needs.
- Ability and willingness to work outside of office hours and on weekends when needed
