Position Overview
The Business Administration Executive will play a critical role in ensuring seamless business operations, effective customer engagement, and comprehensive reporting of key metrics. This position involves working across various functional areas, including business administration, customer interaction, and event coordination, while adhering to timelines and maintaining high-quality standards.

FoodPlant is Singapore’s first shared facility for small-batch food production. We support SMEs and startups in developing and scaling up new food products. FoodPlant provides access to advanced food processing technologies, expert guidance and industrial equipment. With SFA licensing and ISO certifications, we empower businesses through R&D, pilot production, and commercial manufacturing on a pay-per-use model.
Key Responsibilities / Key Result Areas (KRAs)
1. Business Administration
- Documentation and Agreements: Prepare quotations, confidentiality agreements, and service agreements within 1-2 business days to support efficient client onboarding and project initiation.
- Billing and Financial Processes: Manage billing arrangements, including PR, PO, and invoicing tasks, using SAP S/4 HANA to ensure accuracy and compliance with financial procedures.
- Procurement Management: Process procurement of goods and services via SAP S/4 HANA, ensuring timely delivery and alignment with organizational requirements.
2. Customer Engagement
- Enquiry Management: Serve as the first responder to customer inquiries, providing professional responses within 2-3 business days to maintain a high level of client satisfaction.
- Service Facilitation: Coordinate laboratory services and support client projects to ensure smooth delivery of solutions aligned with client expectations.
3. Business Reporting
- Metrics Tracking: Monitor, document, and report on key business metrics such as revenue, factory utilization, number of projects, and training courses.
- Compliance Reporting: Prepare and deliver performance data in alignment with government KPIs and other regulatory requirements.
4. General Operations
- Event Execution: Assist in planning and execution of training courses, student programs, and outreach events to enhance organizational visibility and client engagement.
- Office Management: Perform routine housekeeping tasks, including inventory management of stationery and pantry supplies, ensuring a well-organized workspace.
- Administrative Support: Provide logistical and administrative assistance for internal and external initiatives, ensuring smooth operations and project delivery.
Required Skills and Qualifications

- Technical Proficiency: Experience with SAP S/4 HANA for billing and procurement is highly preferred.
